Book Direct Short Lets Terms & Conditions

By booking with Book Direct Short Lets, you acknowledge that you have fully read and accepted the following Terms and Conditions:

Contact Information:

  • Enquiries can be made via email at bookdirectshortlets@gmail.com or by calling +447920406484.
  • During check-in, guests must provide a valid passport or Driving Licence as identification.
  • Guests should utilise the booking confirmation invoice email as both a payment receipt and confirmation of their reservation with Book Direct Short Lets.

1. Booking & Payment Procedure:

  • Full payment is required in advance, processed on the booking day. Credit card details will be securely stored to cover potential damages or additional costs.
  • Upon payment receipt, we will send a written confirmation of your booking via email.
  • Extensions of your stay are possible, subject to availability, with no extra charges for last-minute bookings.
  • Payment must be made in full in advance, either by bank transfer or credit/debit card.
  • All prices are quoted in UK Pounds Sterling and are accurate at the time of publication. Payment must also be made in UK Pounds Sterling.
  • Bookings using a credit/debit card must be made by the cardholder or with their consent.
  • Guests must be 18 years or older to make a booking with Book Direct Short Lets.
  • Bookings for stays of 6 weeks or less must be fully paid at the time of booking, prior to occupancy.
  • Bookings for stays exceeding 6 weeks will be invoiced in 6-week blocks (42 nights). The first 6 weeks are due upon booking, and subsequent payments for the next 6 weeks are required no later than 28 days after check-in. Following payments must be made every 28 days.

Holding Deposit:

We may, at our discretion, request a £300 holding deposit for any booking. If required, one of our staff members will meet you during the following times: 2 pm to 7 pm, Monday to Friday, and 2 pm to 5 pm, Saturday to Sunday. You’ll need to provide photo ID and proof of address. Deposits are taken through a credit/debit card and will be refunded upon the return of keys and a damage inspection of the apartment.

2. Cancellation Policy

  • All bookings are non-refundable; no refunds are provided for no-shows.
  • Depending on the reason for cancellation, you may be able to claim cancellation charges from your travel insurance company if you have travel insurance. We strongly recommend that clients purchase sufficient travel insurance. Unfortunately, due to the reasons mentioned above, we must treat any early departure as a cancellation.

If We Cancel Your Booking:

In exceptional circumstances, Book Direct Short Lets may need to cancel a booking. In such cases, we will make every reasonable effort to offer a suitable alternative from our property portfolio. If we are unable to provide alternative accommodation, we will issue a full refund for the dates we cannot accommodate.

If the Guest amends the booking:

● If a guest wishes to modify a booking (change dates, accommodation type, check-in/out times), we will make reasonable efforts to accommodate the request but may charge additional fees.

● For changes made after the stay has started, we may not be able to fulfill the request.

● If a guest decides to leave the apartment early and terminate the remaining stay, this must be confirmed in writing, and keys returned on the agreed check-out date. We are not liable for loss, damage, or expenses and cannot guarantee reimbursement of incurred costs.

● Failure to return keys at check-out may result in charges for lock, key, building fob, or car park fob replacement.

If Book Direct Short Lets amends the booking:

  • We reserve the right to make changes or amendments to any booking at any time.
  • In the event of necessary amendments, we will strive to allocate an identical apartment, in the same or a similar development. However, this may not always be possible, and an alternative may be offered.
  • We are not obligated to provide reimbursement or compensation for such amendments.

3. Facilities & Services:

Note: Do not remove or dismantle any items within the apartments. Furniture should not be relocated within the apartment

Services:

  • We are not responsible for the failure or interruption of services within or outside the apartment or building, including utilities, appliances, and communications (e.g., Washing Machine, Tumble Dryer, Dishwasher, Television, Broadband, Wi-Fi, Electricity, Water, Heating).
  • Inconveniences such as noise, access, or service supply disruptions due to engineering or repair work within the property are beyond our control.
  • Upon notification of service interruptions, we will make reasonable efforts to resolve the issue promptly.
  • Facilities and services in common areas (e.g., elevators, entry systems) are managed by the building managers, not Book Direct Short Lets.
  • We reserve the right to modify or discontinue services without prior notice.

Broadband:

  • Complimentary wireless broadband (Wi-Fi) is available in all apartments.
  • While we strive to maintain hardware and connection, we cannot guarantee connectivity at all times.
  • Support and maintenance are provided for hardware faults but not for guest-owned devices.
  • A £25 charge applies for the replacement of a lost or removed Broadband key/fob code.

Extra Beds:

  • Travel cots can be delivered upon request with at least 48 hours’ notice.
  • Availability is not guaranteed on short notice.
  • Cot beds are for infants aged 12 months and under; guests must provide bedding, pillows, and duvets.

Maid Service:

  • A weekly maid service is included for stays of 2 weeks or more. This includes apartment cleaning, bed linen, and towel refreshing.

Emergency Call Outs:

  • Emergency Number: 07920406484
  • An emergency number is provided for maintenance issues outside office hours.
  • This number is exclusively for genuine emergencies (e.g., Flood, Fire, Power Cut, Lost Keys).
  • Misuse may result in a £150.00 call-out fee.

Luggage & Mail Storage:

  • We do not offer storage for luggage, personal belongings, or mail, including post or packages.
  • We do not provide keys to apartment post boxes. Post is checked regularly and can be delivered to the apartment upon request.
  • There is no mail forwarding service after guest checkout.

4. Number of Occupants:

  • Occupancy is limited to the number of beds in each apartment (e.g., 1 bed sleeps 2, 2 bed sleeps 4).
  • The apartment cannot be sublet or occupied by more people than specified in the apartment description.
  • We reserve the right to refuse entry or terminate the stay if this condition is violated.

5. Check-in, Check-out & Key Return:

  • Check-in begins at 15:00 pm, and check-out is at 11:00 am.
  • All keys and building fobs must be returned to the lockbox of the assigned property by 11:00 am.
  • Charge for lost, damaged, or unreturned keys and building fobs is £25 each
  • If keys are not returned promptly, additional night charges may apply. For long-term bookings, charges continue until the next payment cycle.
  • Failure to return keys may result in charges for lock, key or building fob.
  • Late check-out or refusal to vacate the apartment by the agreed time may lead to eviction.
  • Lost Property – Left items are stored at the owner’s risk for up to 30 days. Safekeeping is not guaranteed. Lost property can be shipped at the guest’s cost with prior agreement, and we assume no liability for missing items.
  • Each guest receives one set of keys and fobs unless a second set is pre-arranged during booking. Availability of second sets after check-in is at the discretion of Book Direct Short Lets management.

6. Damages to Apartment & Payment of Additional Charges:

  • Valid credit/debit card details must be provided at booking. In the event of apartment damages, we may charge appropriate fines using these card details without prior notice.
  • Apartments should be left reasonably clean. If, at our discretion, additional specialist cleaning (e.g., stain removal from carpets) is needed, we may charge £150. For bookings over 28 days, a discretionary final cleaning charge of up to £150 may apply if the apartment is deemed unfit for occupation, in addition to cleaning and repair costs.
  • We reserve the right to charge £150 (plus general cleaning charges) for specialist cleaning or damage if the apartment is left in exceptionally poor condition or if smoking has occurred.
  • Damages: You are responsible for full payment of any damages to the apartment or its contents. We will notify you of any breakages or damage found during your stay or within 10 days after your departure, along with a detailed breakdown of the damage and, where possible, the cost of repair. Photographic evidence may also be provided. It is your responsibility to check for damage during your stay. Condition reports are available upon request at the start and end of your stay.
  • Our liability is not limited for death, personal injury, or fraudulent misrepresentation. However, we are not liable for indirect, consequential, or economic losses, unless required by law.
  • If booking on behalf of a business, the business must indemnify us against all losses arising from the breach or negligent performance of these terms.
  • Our total liability for any breach, negligence, or other matter related to your booking is limited to the fees paid to us under your booking.
  • We are not liable for delays or failures resulting from circumstances beyond our control, such as natural disasters, government actions, or utility service interruptions.
  • Except for death or personal injury caused by our negligence or as required by law, our liability is limited to the greater of £1,000 or the booking value.

7. Car Parking:

  • On street parking is available with restrictions between 10am-11am & 3pm-4pm Monday to Friday). Parking spaces are normally available, however, not guaranteed.
  • If a Parking Contravention Notice (PCN) is issued on the vehicle for parking during restricted hours, it is the responsibility of the vehicle owner or the guest to pay the parking fine and Book Direct Short Lets is not liable to pay for this.
  • Book Direct Short Lets is not liable for any vehicles and any damage / loss to any vehicles / persons or any items connected to the vehicle(s).

8. Liability:

  • We are not responsible for theft or damage to your personal belongings during your stay.
  • Ensure you have appropriate insurance.
  • We exclude all warranties and conditions implied by law.
  • We are not liable for losses due to changes or cancellations caused by “force majeure” events (unforeseeable events beyond our control).
  • “Force majeure” includes war, civil strife, terrorism, natural disasters, government actions, weather, and similar events.
  • Statutory rights for consumers are unaffected.

9. Law & Jurisdiction:

  • These conditions are subject to English and Welsh law.
  • In case of a dispute, the client is subject to the exclusive jurisdiction of English and Welsh courts.

10. Termination by Book Direct Short Lets:

  • We can terminate a booking due to partying, noise, abusive behaviour, mistreatment of the apartment, non-payment, or criminal activity.
  • We may not provide alternative accommodation.
  • Notice period is at our discretion.

11. Injury or Loss:

  • We are not responsible for personal injuries or loss/damage to personal effects.
  • We are not responsible for circumstances beyond our control, like mechanical breakdowns or public service failures.

12. Rights of Access:

We or our subcontractors can access the property for inspection, repairs, or maintenance, with regard to your convenience

13. Pets:

  • No pets are allowed under any circumstances.
  • Breach of this rule can lead to termination of stay without refund. A £150 surcharge applies if pets are discovered.

14. Smoking:

  • Smoking is not allowed inside apartments or internal communal areas of apartment blocks.
  • Smoking is permitted on external balconies where available. A £150 surcharge applies if smoking is detected in the apartment.

15. Complaints:

  • Notify any complaints to our office within 24 hours after departure via email at bookdirectshortlets@gmail.com.
  • We’ll take steps to resolve the issue. Complaints submitted after the rental period won’t be considered.

16. Information:

  • All information provided is in good faith and based on available information.
  • We are not liable for variations.
  • We can add or remove services/facilities without notice.

17. Interest

Overdue invoices accrue interest at 4% above Bank of England base rate, from due date until payment.

18. Security of Tenure:

  • Apartments are occupied as serviced apartments, creating no tenancy rights.
  • Security of tenure under the Rent Act does not apply.
  • We can access or terminate the apartment stay without prior notice if necessary.

19. Usage & Nuisance Behaviour:

  • Apartments cannot be used for parties, loud music, or disruptive behaviour.
  • Guests must respect other occupants.
  • We may terminate your stay and charge £250 for such behaviour, plus an additional £150 for extra cleaning.
  • Occupancy is limited to the number of beds; extra beds may incur an additional charge.
  • We do not knowingly accept hen/stag or group bookings for parties; such behaviour may lead to eviction with no refund and a £250 fee.
  • Inappropriate or illegal behaviour results in immediate eviction without refund and potential police involvement.

20. Apartment Specification:

  • Apartment details on our website are subject to change without notice.
  • Apartments vary in style, size, and layout, so furnishings may differ.
  • The exact apartment cannot be guaranteed before arrival.
  • Apartment layouts shown on our website are general representations; actual designs may vary.
  • We reserve the right to add or remove services or facilities without notice.
  • Compliance with rules and safety procedures is essential, including fire evacuation details.
  • You are responsible for rental fees, facility charges, and other amenities.
  • Use of internet or broadband must be lawful.
  • We retain lost items for up to 1 month after your departure; contact bookdirectshortlets@gmail.com for inquiries.

21. Discount/Promotional Codes:

  • Promotional codes distributed by us are subject to change, expiration, or refusal without notice.
  • Promotions are applied before payment during booking; we cannot apply them over the phone or after booking.

22. Included As Standard:

  • We may provide toiletries and condiments on arrival at our discretion.
  • Toiletries and condiments are not replenished during the stay.
  • It is not our responsibility to provide such items.
  • Standard items provided on arrival may include washing up liquid, one toilet roll, one washing machine detergent, one jay cloth, one bin bag, toiletries, and complimentary condiments.

23. Acceptance of Terms and Conditions / Contract of Hire:

  • Booking indicates acceptance of these terms and conditions by the hirer and all party members.
  • Payment of deposit or apartment fee confirms acceptance of these Terms and Conditions.
